Seller Information and Submission Instructions

  1. You must be an APS member. If you are not a member you must apply for membership.

  2. Obtain the required submission forms and batch cover sheets. The submission forms may be purchased by email, phone, fax, or mail. Also submisison forms can be downloaded for free using Adobe Acrobat.

  3. Complete a separate submission form for each item to be sold. Please print clearly. For your security and protection, your name and APS membership number will not be displayed on the website nor be made available to the buyer. (A sample completed submission form and batch cover sheet.)

  4. Buyers can search by looking for words included in your description of the item. Use of standard terms and topics may lead to more buyers reviewing your material. Some terms you may consider for inclusion: booklet, coil, proof, specimen, essay, or precancel. If you are submitting a topical item use an appropriate keyword such as train, bird, truck, etc. Faults such as thins, creases, pulled perfs, etc., even if visible, must be clearly described.

  5. Affix the item(s) in the large box on the top half of the form using a clear mount. Do not use hinges, or cloudy glassine materials. When affixing a set each stamp must be fully visible. If the item is too large for the space provided, mount it on a separate sheet of paper making certain to indicate to which submission form it belongs to. Mounts should be closed on at least two sides, preferably three sides, so the items are secure thus no loss or damage can occur. Items which cannot be scanned as submitted may be returned at the owners expense.

    • order 20 blank submission forms for $3.00 — several batch cover sheets will be included at no charge.

    for use on the forms are available as follows:

    • Singles (C½) - 100 for $5.00
    • Definitive Blocks and Large Singles (C1½) - 100 for $6.00
    • Plate Blocks (C3½)- 100 for $7.00
    • No. 6¾ Envelopes (EC90)- 100 for $12.00
    • No. 10 Envelopes (EC100)- 100 for $14.00

  6. Package your items securely making certain to include one batch cover sheet which includes your APS membership number, last name, number of submisisons included in shipment, and payment method and send them to: APS StampStore, 100 Match Factory Place, Bellefonte, PA 16823. We recommend they be sent by insured or registered mail.

  7. There is a posting fee of 10 cents per submission. Do not send stamps or cash.

Terms of Sale

  1. Items must be priced at $1 or more, any item priced below $1 will be returned.

  2. Our commission on sales is 20% with a minimum of 50 cents per item.

  3. Any material returned to a seller will be charged 1% of the total sale price value plus a postage/handling charge of $4.95 per shipment.  Any material returned due to misidentification, unreported faults, etc. will be charged a 50 cents per item plus the postage/handling charge of $4.95 per shipment.  If returned by registered mail the postage/handling charge is $12.95.

  4. A buyer has a 30-day money back guarantee on any item not as described.  Any item returned will be re-offered for sale with an amended description or returned to the seller.

  5. A statement will be sent to each seller on the 10th of each month with payment for sold items.  (This date can vary depending on when the 10th falls each month)

  6. Sellers may review the status of their submitted items online or change pricing on items at any time prior to sale by accessing the “MY APS” section of the website.

  7. The Society accepts no responsibility for items until they are received.

  8. The APS reserves the right to reject any item for any reason or to change a description as it deems appropriate.

  9. In the event we are unable to contact a seller or his heirs with reasonable effort three years after a submission is due to be returned, all unsold items and proceeds will be treated as a donation to the American Philatelic Society.

  10. If an item is expertized by a purchaser and found to other than as described, the seller is then responsible for the expertizing fee of $25.  If the item is returned as “No Opinion” by the expert a processing fee of $8 is charged to the seller.

  11. If a grade is placed on an item in the description it must have a certificate indicating the grade otherwise this information is not included in the description.

  12. Items priced between $500-$999 are strongly recommended to be certified.  Any item priced at $1000 or more requires a certificate of authenticity and if it does not have one will be returned to the owner.

  13. To enable the APS to use the information you supply us with, including for education purposes, you (the seller) agree to grant the APS a non-exclusive, worldwide, perpetual, irrevocable, royalty-free, sub-licensable right to exercise any copyright, publicity, and database rights you have in your listing.

Caution About Protecting Your Personal Information

Be very cautious of any email that asks you to submit information such as your credit card information or your email password. APS will NEVER ask you for sensitive personal information such as passwords, bank account or credit card numbers, Personal Identification Numbers (PINs), or Social Security Numbers in an email.

The only way you should ever update personal information is at the APS Edit Profile page. Click My Stamps then "Edit Profile."
